Event Suggestions and Review Policy

1. Idea Submission

Submitting an event proposal through the designated form ensures that your idea will be reviewed by the board. Please note that submitting a proposal does not guarantee approval or implementation of the event. The idea will be considered alongside other submissions based on factors such as feasibility, alignment with the goals of the SPC OBU Canada, and available resources.

2. Event & Date Reservation

If the suggested event is added to the calendar, it represents a tentative date reservation. However, this date and event may be subject to change due to a variety of factors. These may include, but are not limited to:

  •         Weather conditions

  •         Low registration or participation rates

  •         Budgetary constraints or changes in funding

  •         Sponsorship availability or changes

  •        Unforeseen logistical challenges or other external factors

In the event of such changes, the board will notify all involved parties as promptly as possible and will work to reschedule, make alternative arrangements where necessary or cancel the event when no other feasible alternative is available.

3. Eligibility for Submission

Any member of the SPC OBU Canada is eligible to submit event proposals. SPC OBU Canada encourages creative and diverse ideas that contribute to the spirit of community and the objectives of the Union. Submissions are welcome at any time throughout the year.

4. Documentation and Future Consideration

All event ideas will be documented in a centralized, accessible repository for the current and future boards. This document will serve as a record for future reference and will be available for review by the board of that relevant period. Although submitting an idea does not guarantee its immediate realization, having the idea on record increases the likelihood of it being considered for future events, as circumstances evolve and resources become available.

5. Review and Event Scheduling Process

Once an event proposal is submitted, it will undergo a thorough review process by the board. During this process, the board will assess:

  •         The alignment of the event with the goals and values of SPC OBU Canada

  •         The feasibility of the event, including potential challenges or limitations

  •         The availability of resources, including budget, volunteers, and sponsorship

  •         The overall impact and benefit to the SPC OBU Canada community

The board will notify the submitting member of the decision following this review. If an idea is not immediately approved, feedback may be provided to help refine the proposal for future consideration or what alternative action was taken regarding the submission.

6. Communication of Changes or Cancellations

In the event that an approved event must be postponed, rescheduled, or canceled, the board will make every effort to communicate the changes in a timely manner. Communication will be sent to all relevant parties, including event participants, sponsors, and volunteers. The board will ensure transparency in the decision-making process and provide updates as necessary.

7. Event Support and Resources

In the process of scheduling the event, the SPC OBU Canada board may consult the suggester of the event and members of the community for assistance on the following but not limited to:

  •         Event promotion and communication

  •         Coordination of volunteers

  •         Access to venue or location (subject to availability)

  •         Funding assistance (where applicable)

  •         Sponsorship outreach and partnerships

Specific support will be determined based on the nature and scale of the event, and the submitting member(s) will be informed accordingly.

8. Post-Event Evaluation and Feedback

After an event is held, the board will conduct a post-event evaluation to assess its success, gather feedback from participants, and identify areas for improvement. This feedback will be used to refine future event planning and enhance the overall experience for SPC OBU Canada members.

9. Transparency and Accountability

The Board of SPC OBU Canada is committed to maintaining transparency throughout the event planning and execution process. All members will have access to public communications regarding the event. The board will uphold accountability in managing resources, decision-making, and ensuring that events align with SPC OBU Canada's mission and goals.

10. Compliance

The policies outlined herein are subject to periodic review and may be amended or revised at the discretion of the SPC OBU Canada Board. These changes may be driven by evolving organizational priorities, legal or regulatory requirements, unforeseen circumstances, or in response to feedback from members and stakeholders. As such, the SPC OBU Canada reserves the right to modify, update, or rescind any aspect of this policy at any time. It is the responsibility of all involved parties to stay informed of the current version of these policies and to ensure compliance with the most recent guidelines and procedures.
